What aspects of event planning does CONGREGO handle?
We specialize in end-to-end vendor relations and event execution. At this time, we do not support event marketing or lead generation efforts.

I don't have a clear vision for my event. Can I get help scoping it?

Payments & Budgeting
How do the event vendors get paid?
Our team can either use a pre-determined payment method (i.e. company credit card), or can liaise with an accounting/operations counterpart from your organization to make vendor payments. In either scenario, CONGREGO will own the vendor communications.
Note that most events require working with multiple vendors that have varying payment deadlines.
How are payments reconciled for bookkeeping?
We manage payment reconciliation and will share invoices, receipts, etc. with the necessary person(s) at your organization in your preferred format.
How much do you charge for your services?
Our flat-rate service fee ranges from 5-10% of the total event spend. We'll follow up with a proposal after the event has been scoped during a complimentary consultation call.
How is the event budget determined?
Most of our clients come to us with a pre-determined total event budget (or range) that we work within. Alternatively, we can provide an estimated spend based on your event's needs.
If required, we can also work within the parameters of categorical budgeting (i.e. line-item budgets for each aspect of the event, such as food and beverage, lodging, etc.).
We will never spend beyond the agreed-upon budget without pre-approval from our clients.
Event Details & Planning
How much lead time is needed to plan my event?
Planning lead times for events vary greatly based on headcount and location. Generally, a minimum of 6 weeks for "small" events or 24 weeks for "large" events is required.
How involved do I need to be in the event planning process?
Our clients are welcome to be as hands-on or hands-off as they want to be. We've found that a good communication cadence is a 15-minute check-in call every 2 weeks leading up to the event date.
Please note that certain time-sensitive issues can arise unexpectedly in which case an impromptu call might be required.
What happens in the case of inclement weather or another emergency?
We always take precautions during the planning process to prevent mishaps and advise our clients accordingly. In the case of an unforeseen emergency, we will go to extra lengths to keep the event running smoothly.
If the decision is made to cancel the event, we will work with the vendors to recover whatever funds we can within the terms of any executed contracts.
Can special requests and unique guest needs be accommodated?
We are always happy to accommodate specific requests where possible. We ask that our clients communicate their requirements to us as early as possible.
What if I already have preferred vendors that I want to use for my event?
We are happy to work with our clients' preferred vendors when feasible. Please disclose your vendors of choice and rationale for working with them as early as possible so we can assess if they're the best fit for your event.
Can last-minute changes be accommodated?
We do everything possible to make adjustments when feasible by our vendor partners.
Referral Program
How does CONGREGO's referral program work?
Our clients can receive 50% off our service fee for their next event by introducing us to a new client. Use the form on our Get In Touch page to provide details about the referral and we will follow up directly via email.
